Preparation of application documents for email dispatch

At a basic level, when sending your application documents by email, you should also pay attention to any information in the job advertisement regarding this. For example, if it is required that you send cover letter and resume separately, you naturally adhere to that. If the documents are to be submitted via an online portal, you follow the instructions provided there.

Otherwise, the same applies to email dispatch: less is more. So, do not send dozens, but only one or two attachments at most. Typically, you would put your complete application documents in a PDF file. For example, work samples could possibly be outsourced to a second file. Do not send editable files (such as Word documents) under any circumstances. Also, do not pack your documents in ZIP files. On the one hand, it may happen that such attachments are blocked by companies for data security reasons. On the other hand, a ZIP file increases the effort for the recipient, who has to unpack the file before being able to view it.

In general, your attachment should be smaller than 5 MB, as larger files may be rejected by the email recipient's inbox. If necessary, you may need to compress the images in your documents. Also important: give your files meaningful names so that they can be easily identified by HR. For example, the file name could be: “Application_[Position]_[your-Name].pdf”.

Check documents and use the correct email addresses

Before sending the email, check that you have actually attached your documents in the correct and current version. If you are applying for multiple positions and have already prepared several application documents, also make sure that your attachment contains the appropriate documents for the email recipient. It would be extremely unfavorable if you sent the application for Company A to Company B. It is best to open the files from the attachment again before sending and check them.

You send the email to the respective contact person. Ideally, the email address to be used is stated in the job advertisement. If not, look on the company's website for a contact person or inquire by phone if in doubt. It would be disadvantageous to send your documents to a general info@address. Here, it is uncertain to what extent the email will be promptly considered and whether it will even reach the right contact person.

Finally, you should send your documents from a professional-looking email address - addresses like “magicwitch89” or “gameplayer3000” are unsuitable. Also, use a signature that includes your address and a telephone number. This way, the recipient can see your contact information at first glance.


The Subject Line

The subject of the email itself should be brief yet informative. Just like in the subject of your cover letter, here too, the recipient must be able to quickly and easily identify your email. Be sure to include the terms “Application” or “Application Documents”, state the position you are applying for, and optionally mention the reference number of the job advertisement:

  • Application for [Position] (Reference Number: 12345)
  • Application for the position of [Position]
  • Application as [Position]
  • Application documents for the position of [Position]

The Email Cover Letter

The cover letter in your email should include a greeting and closing formula, as well as your name. It should explicitly mention the position you are applying for again and refer specifically to the attachment with your application documents. Keep the language formal. Just like in your cover letter, pay attention to correct spelling.

Keep the email cover letter generally short. Also, use new formulations – do not repeat the text from your cover letter. In the simplest (but also most boring) case, your email cover letter could look like this:

Dear Mr. Mustermann,

Enclosed you will find the documents for my application for the position of saleswoman at your company.


I am available for any questions you may have. I look forward to a personal interview.
